Bookings & conversion

Does your garage need online booking?

When a request form is enough, when live slots help, and what to check before buying booking software.

The short answer

Live booking is useful when appointments can reliably match real workshop capacity. A simple request is often a better starting point for diagnosis, bodywork or restorations that need a conversation. Do not present unconfirmed requests as guaranteed slots.

A request and an appointment are different

A request form collects information and preferences for the team to review. A live system allocates a real available slot. The first needs a reliable confirmation process; the second needs an accurate calendar.

If staff already use garage management software, check its website booking options before buying another tool. Two unconnected diaries can create double bookings and more administration rather than less.

Match the process to the work

MOTs and well-defined routine services may suit standard slots if technicians, vehicle classes and equipment are accounted for. Diagnostic work, accident repair and restoration often need more detail first.

A restoration enquiry may ask for the model, condition and aims. A bodyshop may need damage photographs. Explain how customer information is used and avoid collecting more than the team needs for the next step.

Ask the supplier practical questions

Can the system use your existing diary? Can it reserve the right bay, technician and equipment? What happens when staff are absent, a job overruns or a customer cancels? Ask for demonstrations of the situations your workshop actually faces.

Check total subscription, payment and support costs, who controls customer records, whether data can be exported, and how reminders and privacy requirements are handled. A polished booking screen does not answer those questions.

Keep an alternative contact route

Show a phone number and a way to ask about unusual vehicles or work that does not fit a standard slot. Test the booking process on mobile and with a keyboard before customers rely on it.

AllTerrain Digital’s published website package includes positioning, copy, design, build, SEO and launch support. A third-party booking subscription or bespoke diary integration is not assumed to be included: agree scope and supplier fees before starting.

Trial a clearly defined service first

Have staff review the early bookings. Record incomplete requests, duplicates and the time spent confirming jobs. Extend the system only when it fits the operation.

Success means less avoidable administration and more appropriate appointments, not merely more submissions. Simplify a process that adds confusion before advertising it more widely.
